Already have a price list and a client’s request? You can ask AI to organize them into a draft quote. Start by checking what is missing, calculate the amounts separately, and only then draft the document. That helps you catch an option added to the bill or payment terms that appeared without your choosing them.

In this exercise, we will prepare a quote for a content package: three texts and two graphics, with line items totaling $1,200. All details and prices here are fictional and are not a recommended price list. This guide does not determine a business’s tax treatment or legal terms.

What was checked: The product documentation and calculations were verified. The brief, instructions, and drafts are original examples prepared for this guide; no documented experiment was conducted in the ChatGPT interface, and the drafts are not presented as its output. The copyable material below has not been tested in ChatGPT. All amounts are fictional and shown in US dollars, and the tax treatment is deliberately left undecided.

1. Prepare input you can check

Open a new ChatGPT conversation and start with the fictional details below. Pasting text is enough for this exercise; there is no need to connect an inbox or provide information about a real client. OpenAI’s documentation describes giving context, making a request, and refining the result in conversation. That is the basis for our work here. See OpenAI’s usage guide.

The input should define not only the price, but also what it buys. “Two graphics” leaves room for interpretation; “two static graphics measuring 1080×1080 pixels, delivered as PNG files” lets you check that the scope has not expanded.

The copyable brief

Fictional exercise input for copying.

Practice brief only: all details and prices are fictional
Source ID: Q1
Business: Example Content Studio. Client: Demo Client.
Purpose: prepare a content package, without uploading or publishing.
Base: 3 short texts in English, up to 120 words per text, $280 each.
Base: 2 static graphics, 1080×1080 pixels, $180 each.
Optional choice only: 2 additional graphics with the same specifications, $180 each. This option has not been ordered.
Delivery: texts in a text file and graphics as PNG files.
Revisions: two revision rounds for the entire base package; one consolidated list of comments is provided per round. Not two rounds per item.
Excluded: photography, advertising expenses, social-media uploading, and campaign management.
Client materials: factual wording about the service and images the client is entitled to provide for use.
Start of work: after the quote is approved and all client materials are received; both conditions must be met.
First draft: within 5 working days after work starts.
Delivery after revisions: within 2 working days after receipt of the consolidated comments list in each round.
For this example, working days are Monday through Friday, excluding public holidays.
Tax treatment / whether the amounts are final for the client: not yet supplied.
Payment terms: not yet supplied.
No discount has been approved. There is no guarantee of a number of inquiries, sales, or reach.
Do not add terms that have not been provided. Do not send the draft to the client.

Save a copy of the brief as Q1. Two fields are deliberately left open: tax presentation and payment terms. The quote’s issue date and validity period have not been supplied either. This is the first test: do they remain open, or suddenly become “a 50% deposit” and “the quote is valid for 30 days”?

2. Ask for questions before drafting the quote

Paste the following instruction, followed by the brief. At this stage, the answer should help you resolve decisions, rather than look like a client-ready quote.

Template for copying; not tested in ChatGPT.

Help me prepare a draft price quote in English using only the attached brief.
For this first step, do not write a client-facing quote. Return:
1. Missing or conflicting details that prevent approval of a quote, with short questions.
2. A deliverables table: item, quantity, unit price, and line total. Separate the base package from options that have not been ordered.
3. The base amount, option price, and total if the option is selected. Show the calculations.
Do not set prices, tax, discounts, deposits, payment terms, or legal terms. A detail that has not been supplied remains "not yet determined." Do not choose a start date if the input links the start to an event. Do not send, share, or publish anything.

[Paste Q1 here]

Expect questions about how tax and the final amount should be presented, the payment timing and method the business wants to set, and the quote’s issue date and validity period. Do not approve an answer that fills the gaps based on “standard practice.” If it suggests options, they are still suggestions for you to choose from, not approved input.

OpenAI recommends specifying sources, the desired output, and boundaries. In particular, mark missing information rather than guess, and keep a message as a draft when you do not want it sent. The instructions here apply that principle to the quote exercise. See OpenAI’s prompting guidance.

3. Calculate the base package and options separately

Open a calculator and check every line. The result AI shows is not an independent check of its own work.

The example’s reference calculation
Item Quantity Unit price Amount
Texts in the base package 3 $280 $840
Graphics in the base package 2 $180 $360
Total base-package items — — $1,200
Unordered option: additional graphics 2 $180 $360
Base package plus option, if selected — — $1,560

Watch the wording: At the Q1 stage, “the base-package items total $1,200” describes the calculation. Saying “the final amount payable is $1,200” already requires a decision about tax presentation. And $1,560 describes only a possible choice, not an order that has already been placed.

4. Draft the quote and keep the gaps visible

You can now ask for a draft. If you have not yet decided on tax and payment terms, keep them in an internal draft with a clear warning at the top.

Template for copying; not tested in ChatGPT.

Now draft a quote using Q1 only. Mark it at the top: "Internal draft: tax and payment decisions are missing; not for sending."
Include a short opening, deliverables, an amounts table, a separate option, revision rounds, exclusions, start conditions, and a timeline. Explicitly preserve the gaps. Do not call $1,200 the "final amount payable" while tax treatment is undefined. Do not add terms, rights, liability provisions, or promises of results.
At the end of the draft, create a separate internal checklist that refers to the input IDs. Do not send the draft.

What an incomplete draft might look like

Compare the structure of the answer you receive with the following example:

Quote for preparing a content package for Demo Client

Base package:
3 English texts, up to 120 words per text, in a text file: 3 × $280 = $840.
2 static graphics measuring 1080×1080 pixels, in PNG files: 2 × $180 = $360.
Total of the base-package items at the supplied prices: $1,200.
Tax treatment and whether this is the final amount for the client: not yet determined. We must not add a tax rate on our own.

Unordered option: 2 additional graphics with the same specifications, 2 × $180 = $360. Total of the items if the option is selected: $1,560; tax status remains open.

Two revision rounds are included for the entire base package, with one consolidated list of comments per round.
Photography, advertising expenses, social-media uploading, and campaign management are excluded.
Work will start after the quote is approved and all client materials are received: factual wording about the service and images the client is entitled to provide for use. Both conditions are required.
First draft within 5 working days after work starts; delivery after revisions within 2 working days after receipt of the consolidated comments list in each round. Working days in the example: Monday through Friday, excluding public holidays.
Payment terms: not yet determined.
Quote issue date and validity period: not yet supplied.
No guarantee is given for a number of inquiries, sales, or reach.

To clarify before approval: what is the wording for tax and price presentation? What are the payment terms? What are the quote's issue date and validity period?

A draft can look organized and still be incomplete. Do not forward it to a client just because it has a heading and a table.

Add explicit decisions

To continue the exercise, we will add input Q2. The following decisions were invented for this example. For a real business, enter only wording and terms already determined for that business; do not copy the tax wording as a statement that it applies to you.

Fictional exercise input for copying.

Fictional input supplement for practice only: not tax guidance or recommended terms for a business
Source ID: Q2. Supplements Q1; all other Q1 details remain unchanged.
The fictional business owner's decision on price presentation: all prices supplied in Q1 are final amounts for the client, including any tax component that applies in the example. Do not add tax to the prices or calculate a tax rate. Do not infer anything about a real business's tax liability from this.
Payment in the example: the full amount within 7 calendar days after delivery of the final base package. No deposit.
The option for two additional graphics has still not been ordered and is not part of the commitment or the base amount payable.
Quote validity: 14 calendar days from issue. For the exercise only, issue date: November 1, 2026, valid until November 15, 2026.
The document is for illustrating wording only. No permission has been given to send it for real.

Below is the fictional Q2 input supplement. Update only the sections it changes; preserve Q1 in all other respects. Produce a complete demonstration draft based on both inputs, and clearly mark all details as fictional. Keep the option outside the base amount. Do not calculate a tax rate. After the draft, separately identify what changed from the previous version. Do not send or publish.

Editorial example; not ChatGPT output.

Editorial example after adding Q2; not experimental output or a real quote
Example quote: all details are fictional
From: Example Content Studio. For: Demo Client.
Example date: November 1, 2026. Valid until November 15, 2026.

Here is a quote for preparing a content package according to the supplied scope.
3 English texts, up to 120 words per text, in a text file: 3 × $280 = $840.
2 static graphics measuring 1080×1080 pixels, in PNG files: 2 × $180 = $360.
Total for the base package: $1,200.
According to the fictional business's decision supplied in Q2, these are final amounts for the client and include any tax component that applies in the example. No tax is added to the prices shown. This wording is illustrative only and says nothing about a real business's tax liability.

Separate, unordered option: 2 additional graphics with the same specifications for $360. If selected, the base package and option together will total $1,560. The option is not included in the base amount payable or the current commitment.

Payment of the full base amount within 7 calendar days after delivery of the final base package. No deposit.
No guarantee is given for a number of inquiries, sales, or reach.

This is a complete demonstration draft according to the exercise inputs, not a review of legal or commercial suitability. No authorization to send it has been given.

The differences between the versions should be limited: an explicit decision about price presentation, payment terms, an issue date, and a validity period have been added. The number of deliverables, prices, two revision rounds, and exclusions have not changed. “Complete” here means complete according to the exercise inputs, not a document legally reviewed for every business.

5. Look for commitments that slipped into the wording

Read every sentence as if the client will ask tomorrow, “But you promised.” Here are four mistakes to look for:

  • “Unlimited revisions,” when the input specifies two rounds for the package.
  • “Includes photography and social-media uploading,” when both were excluded.
  • “Work starts this coming Monday,” when the input makes the start dependent on approval and receipt of materials.
  • “The campaign will increase sales,” when no outcome was promised.

Also check clauses about rights, exclusivity, cancellation, liability, and discounts. If you have not supplied approved wording, their appearance in the draft is a reason to pause and check. This guide does not offer alternative legal wording.

You can request an additional review as follows, then check the comparison yourself:

Template for copying; not tested in ChatGPT.

Check the draft against Q1 and Q2 only. For every amount, date, commitment, and condition, identify its source and the wording in the draft. Separate three lists: matches, omitted, and added without a source. Pay particular attention to the option's status, two revision rounds for the package, exclusion of photography and advertising expenses, the event that triggers the start of work, and payment terms. Do not make corrections silently or invent missing information. This is a supporting check; I will also verify it myself against the input and with a calculator.

If the answer says “everything is correct” without details, ask for the sentences and their sources. Even a comparison table can be wrong; open Q1 and Q2 beside it.

6. Check the exported file too

After completing the input and reviewing the wording, request an editable file and, if needed, a PDF from that same approved version. OpenAI’s documentation describes creating and viewing files. Viewing and export tools may differ between the browser version and the apps. See the documentation on working with files.

If your account does not offer a suitable way to create the file, copy the approved text into your document editor. Check the actual file that opens and the PDF after export: is the currency symbol beside the correct number? Have table rows been swapped? Is the option still clearly separate? Has a payment sentence been cut off at a page break?

Keep input Q1, supplement Q2, and the approved draft alongside the file. A design change is no reason to change terms or reword amounts without review.

7. Approve before sending

Work through this list before the quote leaves the business:

  • Quantities and unit prices match the input; a manual calculation gives $1,200 for the base package and $360 for the option.
  • The option has not been presented as ordered; $1,560 appears only in the context of choosing it.
  • Tax presentation and payment terms are explicit business decisions, without additions from the model.
  • The two revision rounds still apply to the whole package, and photography and advertising expenses remain excluded.
  • The timeline starts only after both specified events.
  • There are no missing fields, unsupported terms, or promises of business results.
  • The editable file and PDF match the reviewed draft; the client name and recipient are correct.

Approving the wording and sending it are two separate actions. Nothing is sent in this exercise. In real work, the business approves the version and recipient before sending and keeps a copy of what was sent.

A reusable input form

For the next quote, replace the example details with decisions made by the business. Leave “not yet determined” in every open field and start again by checking the gaps.
